Bottom line: ApproveThis is a web app for getting sign-offs. You build a form or point an email address at it, and each request lands in the approver’s inbox with Approve and Deny buttons. The approver needs no account and no login. Behind that sit multi-step workflows, conditional routing, reminders and a timestamped audit trail. On AppSumo it sells three tiers, $59, $149 and $249 once, read on 29 October 2026. Every tier has unlimited workflows and approvers. What changes is the number of approval requests a month: 25, 50 or 150. Tier 1 also carries a cross next to “Integration suite” and “Custom approval hub.” ApproveThis’ own site sells monthly plans from $19 a month for 25 requests, with every feature included. The listing is refundable up to 60 days, but it has no “We Got Your Back” guarantee.
Best for: agencies, consultants and small teams that need clients, vendors or managers to approve things from email, at a modest monthly volume.
Think twice if: you need more than 150 approvals a month, a general task-checklist tool, or native Microsoft Teams or Google Workspace connectors.

Updated 29 October 2026. This ApproveThis review rests on what we read that day: the ApproveThis listing on AppSumo, including all three tiers, the deal terms, the founder’s posts, 43 questions and 10 reviews, and ApproveThis’ own pricing page with its home page. We haven’t run approvals through it, so we describe the plans, the limits and what buyers report, not how fast approvers respond.

What ApproveThis does
ApproveThis handles one job: someone asks for a yes or no, the right person gives it, and the decision is recorded. The listing splits that into four parts.
- Starting a request. Custom forms from “150+ templates” or generated with AI; a “Smart Mailbox” address where incoming emails become approval requests; and an “Email CC Approvals” option where copying ApproveThis on an email creates a trackable request for everyone on the “To” line.
- Getting the answer. Each approval arrives in the inbox with Approve and Deny buttons and the attached files, form data and images previewed inside the email. There’s no login by default, with optional PIN protection, automatic reminders and escalation rules.
- Routing. Conditional routing by amount, department or any form field, approval groups where any member can respond, vacation delegation, and calculated fields with “Salesforce-style formulas.”
- Proof. Timestamped decisions, a complete activity log, one-click CSV or Excel export of the audit trail, and watchers who see everything but approve nothing.
The listing also describes AI document extraction: upload a PDF invoice or receipt, and it pulls the vendor name, amount, line items and dates into your form. ApproveThis’ home page adds that each extracted field shows a confidence indicator and is reviewed before the request routes.
Two newer additions came through the founder’s answers and posts. E-signatures went live in May 2026, according to the founder’s reply to a February question. And a May 2026 update added branding for forms and emails: your logo, colours, fonts and sender name, which the founder says is “included in your AppSumo deal, on every tier.”
The detail most people miss: requests are monthly, and Tier 1 is a smaller product
The plan cards read like this:
- License Tier 1 ($59): Unlimited workflows, unlimited approvers, 25 approval requests per month. Crosses next to “Custom approval hub” and “Integration suite.”
- License Tier 2 ($149): Unlimited workflows, unlimited approvers, 50 approval requests per month, with the Integration suite and Custom Approval Hub.
- License Tier 3 ($249): Unlimited workflows, unlimited approvers, 150 approval requests per month, with the Integration suite and Custom Approval Hub.
Turns out “unlimited” on these cards describes the parts that cost ApproveThis little. The meter is requests. The founder explained in October 2025 what counts: “anytime a form, document, webhook, api call, or anything else kicks on an approval workflow that counts as one request, no matter how many people need to approve it.” So a purchase order that passes through four approvers is still one request.
The second half is the part most people miss. Tier 1 doesn’t include the Integration suite. The listing’s own pitch leans on integrations: approved data “flows to accounting, ERP, or anywhere else through Zapier, API, or webhooks.” Its FAQs name Zapier, Slack, QuickBooks and BigCommerce. On Tier 1, the card shows a cross where that suite would be. ApproveThis’ home page also describes clients and vendors submitting through “your Approval Hub (your white-label portal),” and Tier 1 has a cross there too. If you’ve bought ApproveThis to connect it to other tools or to give clients a portal, Tier 2 is the real starting point.
We couldn’t find on either page exactly which connections the Integration suite covers, or whether Tier 1 keeps the email and Slack buttons. Ask before you rely on it.
| Plan | Price |
|---|---|
| License Tier 1 Low-volume email sign-offs |
$59 once |
| License Tier 2 Freelancers and small agencies |
$149 once |
| License Tier 3 Agencies and finance teams |
$249 once |
One-time prices on AppSumo, read 29 October 2026; no codes or stacking, and you can move between the three tiers. The listing shows struck-through prices of $228, $804 and $2,400. ApproveThis' own site sells one plan with all features by request volume: 25 requests $19 a month or $182 a year, 50 for $35 or $336, 100 for $68 or $653, 150 for $99 or $950, up to 1,000 for $400 or $3,840, with a 14-day free trial.
Prices checked Oct 29, 2026 on ApproveThis’s own pricing page. Lifetime deals are listings that can end or change, so check the live listing before you buy.
Worked examples: picking a tier from your volume
A freelancer with four clients. Each client approves about four deliverables a month: a draft, a design, a quote and an invoice. That’s 16 requests, well inside Tier 1’s 25. But if you want those clients to submit through a branded portal, or you want approvals to land in a spreadsheet through Zapier, Tier 1’s crosses rule it out.
An agency with ten clients. Three deliverables a client each month is 30 requests. Add a second round on half of them and you’re at 45, just under Tier 2’s 50. One busy month pushes you over. Tier 3’s 150 gives roughly three times the headroom for $100 more.
A small finance team routing purchase orders. Tier 3’s 150 requests a month works out to about seven a working day across 22 working days. That suits a team approving spend over a set threshold. It doesn’t suit a team where, as one October 2025 asker put it, “every sales must pass through a process approval.”
A business with a seasonal peak. In May 2026 a buyer asked about extra requests for a few busy months. The founder’s answer: “we don’t have additional request packs for tier 1 or tier 2,” though there’s “some flexibility built into our plans behind the scenes.” In practice, size your tier for the busiest month, not the average one.
Honestly, the arithmetic is the whole decision here. Count last quarter’s approvals, divide by three, then add a margin for your busiest month.
Is 150 the ceiling? Yes, on this deal
Several buyers have asked for more. In February 2026 one asked whether Tier 3 really meant 150; the founder replied, “Yes, that’s 150 requests per month,” and that forever deals at the largest plan sizes aren’t sustainable for them. In August 2026 another asked to pay a one-time fee for more, and the founder answered in October: “150 requests a month is the most we can offer on a pay-once offering.” Don’t forget that the tiers are the ceiling; there’s no Tier 4.
ApproveThis’ own pricing page says overages on its monthly plans “are billed automatically at your tier’s rate.” We couldn’t find what happens on an AppSumo licence when you hit request 26, 51 or 151, whether requests stop, queue, or are billed. That’s the first question to put to support.
The pricing switch in October 2025
When the deal launched in July 2025, the tiers were limited by approvers, not requests. On 6 October 2025 ApproveThis changed that. The founder summed it up in the questions: “Old plan: Limited approvers, unlimited workflows, unlimited requests. New Plan: Limited requests, unlimited workflows, unlimited approvers.” Earlier buyers kept their old plan, and the founder’s October 2025 post says they can ask to switch.
The change caused some confusion. In February 2026 a Tier 3 buyer saw new limits in their billing page and posted an angry question. The founder replied the same day that some users “didn’t get provisioned quite right when we made the switch,” and the buyer posted back that support fixed it “right away.” If you’ve held a licence since before October 2025, check that your billing page shows the plan you paid for.
The deal vs ApproveThis’ own plans
ApproveThis’ own pricing page, read on 29 October 2026, sells “One plan” with “All features included,” priced by requests:
| Requests a month | Monthly | Yearly |
|---|---|---|
| 25 | $19 | $182 |
| 50 | $35 | $336 |
| 100 | $68 | $653 |
| 150 | $99 | $950 |
| 250 | $150 | $1,440 |
| 500 | $250 | $2,400 |
It also lists 750 and 1,000 requests, a 14-day free trial with no credit card, and “Unlimited team members,” “API access” and “Priority support” in every plan.
Set against that, Tier 1 at $59 equals a little over three months of the $19 plan. Tier 2 at $149 equals just over four months of the $35 plan. Tier 3 at $249 equals two and a half months of the $99 plan, and about a quarter of its $950 yearly price. When you judge on payback alone, the larger tiers are the stronger buys.
Two things don’t line up. First, the direct 25-request plan includes every feature, while AppSumo’s Tier 1 drops the Integration suite and approval hub. Second, the listing’s struck-through prices are $228, $804 and $2,400. The $228 matches twelve months of the $19 plan, but we couldn’t match $804 or $2,400 to the 50- or 150-request plans on the pricing page that day. Treat those figures as the listing’s own, not as savings.
The deal terms promise “All future Basic (Tier 1) or Business (Tiers 2+) Plan updates.” The vendor’s pricing page names no Basic or Business plan. Ask support what each name maps to today.
What buyers report
The listing shows 5.0 from 10 reviews, all five tacos. Read the dates, though, because most people miss them. Eight of the ten were posted in July, August or September 2025, before the move to request-based tiers.
The founder answers personally. A July 2026 reviewer says the founder “built a custom page for my workflow,” so they could track video approvals with timecode markers in the comments. A February 2026 reviewer onboarded a client and ran a test, noting it “took a little maneuvering to figure some things out” but praising support.
Email-first approvals land well. An August 2025 e-commerce reviewer set up the mailbox “in a few minutes,” and says their managers, who live in email, just click Approve or Decline.
A reviewer who almost refunded. A September 2025 agency reviewer first gave it 2 tacos over missing features, then raised it to five after the founder shipped fixes within days.
Gaps buyers have found. In October 2026 the founder confirmed that a “Powered by ApproveThis” line stays in the footer of forms and emails, that emails send from no-reply@approvethis.com, and that dark mode isn’t available yet. A question on 21 October 2026 asking about full white-label had no answer when we read it. In February 2026 the founder said there were no native Teams or Google Workspace connectors yet. Files under 2GB can be attached, per a May 2026 answer.
The terms
The deal terms read:
- “Lifetime access to ApproveThis.”
- “All future Basic (Tier 1) or Business (Tiers 2+) Plan updates.”
- “You must activate your license within 60 days of purchase.”
- “Ability to upgrade or downgrade between 3 license tiers.”
- “No codes, no stacking—just choose the plan that is right for you.”
The listing reads: No “We Got Your Back” guarantee. “This listing is managed by the partner who built the product,” it continues, “we haven’t vetted it, so this guarantee doesn’t apply.” The refund line still reads “Refundable up to 60 days from your purchase date.” The deal has no end date shown, but don’t read that as permanent.
ApproveThis vs Process Street
The listing names Process Street as the alternative. We didn’t price Process Street or read its site for this review. The founder gave a buyer a comparison in February 2026, which is the founder’s view, not ours: ApproveThis is built for approval decisions, while Process Street runs general task checklists. The founder listed what ApproveThis can’t do, including “General task checklists,” compliance framework mapping and a document or policy module. If your process is “complete these 12 onboarding steps,” skip the deal. If it’s “get a yes from three people and keep proof,” that’s the case it’s built for.
Common mistakes with the ApproveThis deal
Reading “unlimited” as unlimited use. Workflows and approvers are unlimited; requests are capped at 25, 50 or 150 a month.
Buying Tier 1 for integrations. The card shows a cross next to “Integration suite.” Zapier and API flows point to Tier 2.
Sizing for an average month. There are no add-on packs on Tiers 1 and 2, and 150 is the ceiling. Size for your peak.
Expecting full white-label. A “Powered by ApproveThis” footer line remains, and emails send from ApproveThis’ address with your sender name.
Treating it as a task manager. It’s built around approve, deny and revise, not checklists. If you’ve got a checklist process, skip the deal.
Missing the activation window. You must activate within 60 days of purchase. Don’t forget to do it the day you buy.
Who ApproveThis suits
A consultant collecting client sign-offs. Tier 1 covers low volume when you only need email approvals.
An agency with a client portal. Tier 2 or 3, for the approval hub and integrations.
A small business approving spend. Tier 3, with routing by amount and an exportable audit trail.
A high-volume operation. Skip it. Past 150 a month, the deal doesn’t stretch.
How to test it inside the refund window
- Build your most-used workflow with routing, two approval steps and an attachment.
- Send a request to someone outside your company and check what they see when you send it, footer included.
- Count a full month’s real requests against your tier’s allowance.
- Ask support what happens at the limit, and get the answer in writing.
- On Tier 2 or 3, connect Zapier or a webhook and push one approved request into your accounting tool or sheet.
What we couldn’t check
We didn’t run approvals, test the AI extraction or measure delivery. We couldn’t confirm what happens on an AppSumo licence when you exceed the monthly request count, exactly which connections the Integration suite covers, what the “Basic” and “Business” plan names map to, or how the $804 and $2,400 struck-through prices were set. Settle the first two before day 60.
FAQ: ApproveThis questions
Is ApproveThis a one-time payment on AppSumo?
Yes. Tier 1 is $59, Tier 2 is $149 and Tier 3 is $249 once, read on 29 October 2026. There are no codes to stack; you can move between the three tiers.
Do approvers need an ApproveThis account?
No. The listing says approvers respond from their inbox or Slack with one click, with no portal and no password. PIN protection is optional.
How many approvals does the ApproveThis lifetime deal include?
25, 50 or 150 approval requests a month, by tier. A request counts once however many people approve it.
Does ApproveThis Tier 1 include Zapier and integrations?
The Tier 1 card shows a cross next to “Integration suite” and “Custom approval hub.” Both are on Tiers 2 and 3.
The verdict
ApproveThis does one narrow job well on paper: it gets a yes from people who won’t log into anything, and it keeps proof. The founder is visibly hands-on, and the larger tiers pay for themselves against the monthly plans in a few months. The catches are the monthly request cap, the 150 ceiling, Tier 1’s missing integrations and the absent AppSumo guarantee. Count your requests, start at Tier 2 if you need integrations, and test the limit inside the 60 days.
